Why Month-End Close Takes Weeks in Nigerian Businesses, and How to Get It to Days

How many working days does your month-end close take?

If the answer is "about two weeks, if nothing goes wrong", you are not alone. In many Nigerian businesses, the finance team spends the first half of every month closing the last one. By the time the management accounts are ready, the numbers are already old.

The time rarely goes on analysis. It goes on chasing data: waiting for bank statements, collecting branch spreadsheets, matching stock counts and rebuilding VAT schedules. We looked at what that delay costs the business in The Hidden Cost of a Slow Accounting Close. This article looks at the causes, and what you can do about them.

Five reasons the close takes weeks

1. Bank reconciliation by hand, across several banks

Most businesses bank with more than one bank, often with Naira and dollar accounts in each. When statements are downloaded, pasted into Excel and ticked off line by line, reconciliation alone can take days. Unidentified lodgements and transfers between your own accounts make it slower still.

2. Sales, stock and purchases live in separate tools

When invoices are raised in one system, stock is tracked in a spreadsheet and purchases are approved on paper, finance has to rebuild the month from all three. Every gap between them, such as a delivery with no invoice or a supplier bill with no goods received, becomes a query someone has to chase.

3. Branches and companies consolidated in Excel

Groups with several branches or legal entities often wait for each one to send its numbers, then combine them by hand. Inter-company balances rarely agree on the first try, and one late branch holds up the whole group.

4. Tax worked out outside the ledger

When VAT, withholding tax and FIRS e-invoicing details are calculated in separate schedules at month-end, every figure has to be checked twice: once in the schedule and once against the ledger. Errors found late mean entries reopened and reports redone.

5. Approvals by email and WhatsApp

When expenses, payments and journal entries are approved in chat messages, finance has to find the approval before it can post the entry, and auditors have no clear trail. Work stalls while someone waits for a reply.

What a connected system changes

An ERP such as Odoo does not make the close faster on its own. What it changes is where the work happens. Instead of being done in a rush at month-end, most of it happens during the month, as transactions occur.

  • Bank feeds and reconciliation rules. Statements are imported automatically or in one step, and recurring items are matched by rules. The team only reviews the exceptions.
  • One ledger for sales, stock and purchases. Invoices, deliveries, goods received and supplier bills post to the accounts as they happen, so there is nothing to rebuild.
  • Multi-company consolidation. Branches and entities work in one database, with inter-company transactions mirrored automatically.
  • Tax on the transaction. VAT and withholding tax are calculated on each invoice and bill, so the tax reports come straight from the ledger.
  • Approval workflows. Payments, expenses and purchases are approved inside the system, with a record of who approved what and when.

The result is a close that becomes a review of numbers that are already mostly right, rather than a hunt for missing ones.

A 30-day checklist you can start now

You don't need new software to start speeding up your close. These steps help with any system, and they make an ERP project much smoother if you choose one later.

  1. Measure your current close. Record how many working days it takes from month-end to signed management accounts. You can't improve what you don't measure.
  2. Write a closing calendar. List every close task, who owns it and which working day it must be done by. Share it with every department that feeds finance.
  3. Clean up your chart of accounts. Merge duplicate accounts, close unused ones and agree clear rules on what goes where.
  4. Give every bank account an owner. One person reconciles each account weekly, not monthly.
  5. Set a cut-off for branches and departments. Agree the date by which sales, stock and expense data must reach finance, and hold people to it.
  6. Move approvals out of chat. Even a simple shared approval log is better than scattered WhatsApp messages.
  7. Review the month's biggest delay. After each close, note the one thing that held you up most and fix that first next month.
